How do I use auto-archive to keep my roadmap clean?

Learn how to use auto-archive to automatically remove completed roadmap items from your active view so your roadmap stays focused on what's in progress.

Summary

You can configure individual roadmap stages to automatically archive items after a set number of days, so completed or released work moves out of your active roadmap view without any manual cleanup. Archived items are preserved and can be accessed or restored at any time.


Steps

Set up auto-archive on a stage

  1. Navigate to Settings > Roadmap > Stages.

  2. Select the stage you want to configure (e.g., "Released" or "Complete") by clicking the 3 dots and Update. You can also select a new stage as well.

  3. Set the number of days an item must remain in that stage before it's archived under Archive after interval (e.g., 30 days).

    1. If it's left blank, then auto archiving won't happen.

  4. Click Save.

Repeat for any additional stages where you want auto-archiving enabled.

View or restore archived items

  1. Navigate to your Roadmap.

  2. Select Archived from the view filter or sidebar.

  3. Find the item you want to restore.

  4. Click the item and select Restore to move it back to its previous stage.


How it works

  • Auto-archive is based on last activity β€” the clock starts from when the item was last updated, not when it entered the stage.

  • LaunchNotes checks for eligible items once per day, so archiving may not happen at an exact time.

  • Auto-archive only applies to stages where it's been explicitly enabled. Items in other stages are not affected.

  • Archived items are hidden from your main roadmap view but are never deleted. They remain accessible under your archived view.


Notes & important info

  • Note: You can set different archive windows for different stages. For example, archive "Released" items after 30 days and "Cancelled" items after 60 days.

  • Important: You must be a LaunchNotes workspace admin to configure roadmap stage settings.


Troubleshooting

  • Items aren't archiving on schedule. Check that the last activity date on the item matches your expectations. Auto-archive is based on last update, not stage entry date. Also note that archiving runs once daily, so there may be up to a 24-hour delay.

  • Auto-archive is enabled but nothing is moving. Confirm the toggle is saved on the correct stage and that the items in question haven't been updated recently.

  • An item was archived that shouldn't have been. Navigate to your archived view, restore the item, and consider adjusting the archive window for that stage to a longer period.

  • You don't see the auto-archive option. Confirm you have admin-level access to your LaunchNotes workspace. Contact LaunchNotes support if the option still doesn't appear.
