Summary
Tone & Voice is a Premium project-level setting that tells Smart Draft who you're writing for and how your brand sounds. Write it once, and every announcement draft inherits it automatically, so announcements read like they came from one voice even when multiple people are contributing.
Setting up Tone & Voice
Navigate to Settings > Customize Page.
Find the Tone & Voice field and enter your brand voice prompt. Press Save.
Now anytime you use Smart Draft, your Tone & Voice prompt with apply to all announcements drafts.
Writing an effective Tone & Voice prompt
A good prompt has five parts: a role, audience, voice, a few rules, and a structure.
Here's how it can look:
Role:
You write customer-facing product announcements for [Company], the [one-line description] for [audience].
Audience:
[Who reads your announcements — titles, company size, segment.]
Voice:
[Two or three sentences. Confident vs. cautious? Warm vs. formal? Second person vs. third? Short sentences or long? Avoid marketing speak?]
Rules:
- Lead with what unlocks for the reader, not the feature name.
- One idea per paragraph. Short, punchy sentences.
- Use second person; reference "your team" or "your page."
- Close with a feedback CTA
Structure:
- Opening line — names what shipped in plain language
- "So what" sentence — connects to the reader's workflow
- How it works — 2–4 sentences, concrete steps
- Key highlights — bullet list, only when 3+ items
- Soft close — feedback invitation, sign-off line
💡 Not sure where to start? Pull two or three of your best existing announcements, then ask an AI writing tool to analyze them and generate a starter prompt based on your patterns. You can refine from there.
Notes & important info
Tone & Voice is a Premium feature. If you don't see this option in your project settings, contact your account manager to learn more about upgrading.
Tone & Voice is project-level, not workspace-level. A prompt set in one project won't apply to drafts in other projects.
Tone & Voice is only applied to announcements that you use Smart Draft on.
If the field is left empty, Smart Draft will still generate a draft — it just won't apply any brand voice guidance.
