How do I automatically add teammates to my LaunchNotes workspace?

Summary

You can automatically add teammates to your LaunchNotes workspace by setting up domain matching. When you approve your company's email domain (like @yourcompany.com), anyone who signs up or logs in with that email address is automatically added to your workspace—preventing them from accidentally creating separate trial accounts.


Steps

  1. Navigate to Settings → Users → Project users in your LaunchNotes management portal.

  2. Look for the button labeled + Add @[yourcompanydomain].

  3. Click the button to approve your domain (LaunchNotes detects and pre-fills your company domain automatically).

  4. Confirm the domain you want to approve.

Once configured, teammates using matching email addresses will be automatically added to your workspace the next time they sign up or log in.


Notes & important info

  • Note: The same domain can be approved for account linking across multiple LaunchNotes projects if your organization manages more than one page. For example, if you have two projects the teammates will be automatically added to both your projects (pages).

  • Important: Account linking applies to both new users and existing users the next time they log in to the management portal.

  • Important: Removing an approved domain does not remove users who were already linked to your workspace.


Troubleshooting

  • If your workspace uses SAML authentication: Account linking through domain matching is not intended to be used alongside SAML sign-in. Choose one authentication method.

  • If teammates still create separate accounts: Confirm that they're using the exact email domain you approved (subdomain variations like @team.yourcompany.com won't match @yourcompany.com).

  • If you need to manage multiple company domains: Add each domain variation separately to ensure all teammates can link to the workspace.
