Connecting LaunchNotes to HubSpot

In your LaunchNotes account management portal, head to Settings > Integrations and select the HubSpot app. Here you'll be taken to the HubSpot app and prompted to select your HubSpot project to your LaunchNotes account.

In your LaunchNotes management portal, under Settings > Integrations > HubSpot you'll now be able to see the HubSpot email subscription type you've just created - for this example we used "Product Updates" for the subscription type for announcement email notifications.

Select the email subscription type and then the Update button at the bottom of the page. Completing this step will initiate the bidirectional sync between HubSpot and LaunchNotes.

💡 If you want to send LaunchNotes email notifications via HubSpot, you'll need to make sure that you're on the HubSpot Marketing Professional tier or higher.

Setting-up Email Sending

Setting up email sending through HubSpot allows you to leverage HubSpot's powerful email marketing features while maintaining the seamless content creation workflow in LaunchNotes. This process involves two main parts: 1) creating a custom email template in HubSpot; and 2) configuring the email settings in LaunchNotes.

💡 If HubSpot email sending is enabled, LaunchNotes’ double opt-in is automatically disabled. As a result, new subscribers from the LaunchNotes page won’t receive a confirmation email and will be immediately marked as “confirmed.”

Creating a Custom Email Template in HubSpot

In HubSpot, you'll create a new email template using HTML code. This template is designed to display your LaunchNotes content beautifully and consistently. It includes placeholders for dynamic content such as the announcement title, description, and main content. The template also features a call-to-action button and an unsubscribe link to comply with email marketing best practices.


Log in to your HubSpot account.

  1. Navigate to Marketing > Email > Templates

  2. Click "Create email template"

  3. Choose "Code your own" template type

  4. Name your template (e.g., "LaunchNotes Email Template")

  5. In the code editor, paste the following HTML template:

Configure Email Settings in LaunchNotes

Once you've created the template in HubSpot, you'll need to configure LaunchNotes to use this template for sending emails. In the LaunchNotes Settings, you'll enable HubSpot email sending:

  1. In LaunchNotes, go to Settings > Integrations > HubSpot

  2. Scroll down to the Email Sending section

  3. Toggle Send notifications through HubSpot to ON.

  4. Enter the "From" email address you want to use for LaunchNotes emails

  5. From the HubSpot template dropdown, select the template you just created

  6. Click "Update" to save your settings

This setup ensures that when you publish content in LaunchNotes, it will automatically generate and send emails using your HubSpot account.

Preparing HubSpot for Email Sending

You've already set up Subscriber Syncing in a previous step: you've configured LaunchNotes product updates as a subscription type under Tools > Marketing > Email > Subscription Types.

You can also associate LaunchNotes emails to an existing email subscription type (for example, "Marketing"), however it is recommended that you set up a new subscription type for your product update email notifications in case a user unsubscribes from that particular subscription type (i.e. marketing emails as a whole).

These subscription types will show up in HubSpot on your default subscription preferences page - after creating "Product Updates" as a subscription type, you'll be able to see this under the Subscriptions folder, as well as, under the same Email settings tab in your HubSpot Account.

With these steps done, your HubSpot environment will be set-up for sending LaunchNotes announcement email notifications via HubSpot. You can test this connection by heading over to a contact/list of contacts in HubSpot and subscribe them to LaunchNotes.

Testing Email Sending

To test email sending, you'll use the built-in test email feature in LaunchNotes. This allows you to send a sample email to yourself, checking that the email is sent from the correct address and uses the template you created. It's a quick way to verify that the basic email functionality is working as expected.

For a more comprehensive test, you'll create and publish a real announcement in LaunchNotes with notifications turned on. This test mimics the actual process you'll use when sending out updates to your subscribers. After publishing, you'll check HubSpot to see the resulting email campaign.

By thoroughly testing these aspects of the integration, you can be confident that your setup is working correctly. You'll be able to maintain a single subscriber list across both platforms and leverage HubSpot's email marketing capabilities while continuing to manage your content in LaunchNotes.

❗ HubSpot requires you set a "Legal basis for communicating with contact" - select the appropriate option and enter an explanation into the open text field (required). This can be anything but will be shown in the Audit Log in HubSpot.

If you've successfully completed all these tests, congratulations! Your HubSpot integration is fully set up and working correctly. You're now ready to start leveraging HubSpot's powerful email marketing features with your LaunchNotes content.
