How do I send email notifications with just a preview instead of the full announcement?

Summary

You can send email notifications that show only a preview (excerpt) of your announcement instead of the full content. This drives subscribers to your LaunchNotes page to read the complete update, which can increase page engagement and help you track who's actually reading your announcements.

By default, LaunchNotes sends the full announcement content in email notifications. Switching to excerpt-only mode means subscribers will see a summary and a "Read more" button that links to your announcement page.


When to use excerpt-only emails

Use excerpt-only notifications when you want to:

  • Drive traffic to your branded LaunchNotes page to increase engagement metrics

  • Track which subscribers are actively clicking through to read announcements (through your own analytics)

  • Keep emails lightweight and quick to scan

Send full-content emails when you want to:

  • Maximize the chance subscribers will read your entire update without extra clicks

  • Reach subscribers who prefer reading everything in their inbox

  • Ensure content is accessible even if your LaunchNotes page is temporarily unavailable


How to enable excerpt-only email notifications

For individual announcements (one-time override)

  1. Open the announcement you want to publish

  2. In the right sidebar under Publishing Channels, locate the Email toggle and turn it on.

  3. Toggle Send excerpts only to ON

  4. Publish your announcement as usual

This setting only applies to this specific announcement. Future announcements will use your default email notification setting.

For all future announcements (workspace default)

  1. Navigate to Settings > Email Settings in your LaunchNotes workspace

  2. Click the Settings tab

  3. Scroll to Announcement notifications

  4. Under Send all announcement emails with excerpt-only select the Yes option.

All future announcements will now send excerpt-only emails by default. You can still override this setting for individual announcements using the toggle in the publish sidebar.


What subscribers see

Excerpt-only email includes:

  • Announcement title

  • Date

  • Category and labels (if configured)

  • A preview/excerpt of your announcement content (first ~150 characters)

  • A prominent "View the full announcement" button

  • Your branding (colors, logo) if configured in email notification settings

Example of Excerpt-only email

To update the "View the full announcement" button, navigate to Settings > Email Settings. Under Branding scroll down to the Text section. Update the text for the "Call-to-action in announcement emails."


Customizing excerpts in announcements

In the Announcement editor, excerpts automatically populate as you write your Announcement, but they can be manually added and edited in the Share settings tab.
